This article contains guidelines on how to manage duplicates in Pobuca Connect

Pobuca Connect offers the following options regarding duplicates management:

  1. When you import Contacts through the web app > You can choose the fields you would like the app to compare to spot duplicates (by comparing the relative values that are already in Pobuca Connect and the ones on the import file). In case duplicates are found, you can choose what the app should do: Ignore line in excel or Update existing record from excel. If you choose Update existing record from excel, you can also choose if existing values stored in Pobuca Connect should  be overwritten by new values that are empty inside the file. 


2) When you import Co-workers through the web app > the app will compare the Email field to spot duplicates (by comparing the relative values that are already in Pobuca Connect and the ones on the import file). In case duplicates are found, you can choose what the app should do: Ignore line in excel or Update existing record from excel. If you choose Update existing record from excel, you can also choose if the existing values stored in Pobuca Connect should  be overwritten by new values that are empty inside the file. 

3) When you import Organizations through the web app > you can proceed to the duplicate check.  If you select to do so, the app will not import the duplicate records found (by comparing the ones that are already in Pobuca Connect and the ones on the import file). In order for the duplication check to take place, you must choose the filters which are going to be inspected. For Organizations these fields are: 'Organization name', 'Email' and 'Main phone'. When the import is completed, on the error report, you can see which records of the import file were excluded from import since the duplicate check failed on them because they were already in Pobuca Connect (same value on the selected filter).

4) During the import of business contacts through the mobile app, at the step on which you select the contacts to import, you are presented with 3 tabs:

  • New: these contacts do not exist in Pobuca Connect

  • Existing: these contacts already exist in Pobuca Connect

  • Incomplete: these contacts have missing contact information

Thus, by knowing which contacts already exist ('Existing' tab), you can easily exclude them from import and in this way no duplicates are going to be created in Pobuca Connect after the import is completed. You can only select the Contacts under the 'New' tab.

5) When using the Outlook app and reading a specific email, by clicking on the left icon ('People' icon), a list of contact cards found in the email body is displayed. The enlisted contacts do not exist in your Pobuca Connect database and you have the option to add each one of them there by clicking on the ADD button. So, you can be sure that no duplicates are going to be created.
